Fugo & your Hubspot dashboard

With the Hubspot app inside Fugo CMS, you can securely connect your digital signage to your Hubspot account and display dashboards on screens across your workplace without ever leaving your desk.

And you don’t have to worry about exposing sensitive business data. Unlike solutions that require storing Hubspot credentials on external devices or generating publicly accessible URLs, Fugo keeps your information secure.

Fugo’s integration works differently. Your login credentials are encrypted and stored on a private cloud server. Fugo then logs into Hubspot in the cloud, captures an encrypted screenshot of your dashboard, and sends it to the Fugo player app on your device. This ensures your dashboard appears on screen without direct data exposure. You can set the refresh interval to keep your dashboards up to date.

Best practices for using Hubspot with Fugo

We’ll get to the walkthrough in just a second - but first, let’s go over a couple of best practices that we recommend following whenever you’re connecting any third-party dashboard service with your Fugo CMS account:

1. Create a service account:

To ensure the utmost security for your sensitive data, we recommend setting up a 'least privileged' service account in your Hubspot account. This typically means using an account with read-only permissions for the dashboards you want to display.

Using a service account not only enhances security but also prevents potential interruptions in your account like unexpected logouts or excessive security notifications. Additionally, full-access user accounts often come with associated phone numbers, which gets in the way of Fugo's authorization process.

You can read more about how to set up a service account with Google here.

2. Have your dashboard URL(s) handy

You'll need the URL of your specific dashboard that you want to display on screen ready when you start the process of connecting it with Fugo. Copy that URL and have it ready to paste into Fugo.

Dashboard setup instructions

Set up 2FA in your Hubspot account

☝️ This step is mandatory, even if you use SSO.

The first step to get your Hubspot dashboards working with Fugo is to enable Two-factor authentication (2FA) for your account. If you do not want to enable 2FA on your personal account, we recommend that you create a new "service" account for use with Fugo.

To enable 2FA:

1. Go to your account settings and click General.

2. Click Security located in the top bar and scroll down to the Two-factor authentication section.

3. Click Set Up two-factor authentication (2FA). You'll be given a few options to choose from. Choose Authentication App and go through the set up.

💡 Save your secret key for later

Once you have the Secret Key from your Hubspot account, make sure you save it somewhere. You'll be prompted to enter it later as shown in step 7 of the next section so that Fugo can securely authenticate with your Hubspot account.

Set up 2FA in your SSO provider

If you use SSO to log into Hubspot, you'll get your Secret Key from your provider. This is in addition to the secret key from Hubspot's 2FA

Below are the currently supported providers with links to instructions for getting the Secret Key from them:

Configure your Hubspot dashboard in Fugo's Hubspot app

With your secret key saved, you're ready to connect your dashboard in Fugo!

💡 Note: If you want to see your dashboard on screen at the end of configuration, make sure it's connected to Fugo CMS. If you haven’t connected your screen(s) yet, you can find the instructions for your preferred device in our hardware collection.

1. Log into your Fugo Account. If you don’t have an account yet, you can start your 14-day free trial here.

2. Click Dashboards in the top navigation bar to go to your Dashboard library. If you have not created any dashboards yet, this page will be empty.

Click Create Dashboard to get started.

3. This will launch a New Dashboard window.

4. Select the Hubspot app.

5. First, you’ll need to enter the URL of your dashboard in the URL field.

6. You'll be prompted to log in to Hubspot. Choose your preferred login method & continue as prompted:

7. After you have selected your log in method, enter the corresponding Username, Password & Secret key.

Note that you may be prompted to enter 2 secret keys here - one from your SSO provider & one from Hubspot.

🤔 What's my secret key?
If your'e not sure what a secret key is, we cover what it is, why you need it, and how to get it from your identity provider in this section above.

8. When all your credentials have been entered, click Create.

9. You’ll see a “loading” screen while Fugo logs into your Hubspot account and captures a preview of your dashboard.

This can take some time, so don't sweat it if it takes a minute or two!

10. Viola! Your dashboard preview will appear in the app window.

Click Save to save your dashboard.

⚠️ If your dashboard preview wasn't generated & you see an error message, we recommend that you click Edit in the window & use the Advanced Settings guide to troubleshoot your dashboard. There are a few common errors these settings can help you fix!

Reach out to support@fugo.ai or write to us in the chat box if you need more help.

11. Your dashboard will now be saved in your Dashboards library. By default, we'll set its refresh interval to once per day.

From here, you've got a couple of options:

For directions on publishing your dashboard, jump down to this section.

For directions on customizing your dashboard in the Design Studio, continue to the next section.

💡 Tip! Ready to add your second dashboard? You can use the Duplicate feature to easily create your next dashboard. All you need to do is provide the URL to your next dashboard and give it a name. That's all!

Customize your dashboard display In the Design Studio

Not all dashboards are necessarily screen ready or "screen friendly" as we say at Fugo. Some may be quite long, have several small elements that aren't visible from a distance, or overwhelm the viewer with too much data at once.

You can use the cropping tool in Fugo's Design Studio to crop dashboards into more digestible pieces or otherwise satisfy your requirement for displaying it nicely on screen.

This video breaks down your options in detail 👇

In short, you'll need to:

  1. Add your dashboard to your Design Studio canvas.

  2. Use the crop tool to crop the elements (that is - charts, graphs, bars etc) you want displayed on screen.

  3. Use the graphic design elements in the Studio (media, app widgets, text tickers, QR codes, etc) to embellish your slides and set the look & feel of your layouts.

A few ideas of customizations you may want to make are:

  • Add your company logo to your dashboard slides.

  • Incorporate other apps & integrations into the display, such as the World Clock app or CNN app to grab attention with live updating headlines.

  • Add QR codes to your display to create calls to action for your colleagues pertaining to your dashboards or workflows.

  • Add text boxes with important messages, reminders, or requests pertaining to your dashboards or data initiatives.

Publish your dashboard to your screen/s

You'll find all your saved dashboards in your Dashboards library:

If you want to get a dashboard on screen right away, you'll need to add it to a playlist.

1. Navigate to the Playlists page in the top navigation bar. Click Create Playlist.

2. After naming the playlist & choosing the screens it will display on, you'll pick your dashboard from the Dashboards tab of the content picker.

Your dashboard is now added to your playlist, ready to be published right away or scheduled for a certain day or time using the scheduler.

💡 Check out our Playlists guide collection for the full scoop on:

  • Sending your content to the right screen (or screens)

  • Filling out your playlist with more content items

  • Configuring the content items in your playlist

  • Scheduling content for specific days & times

  • Setting a playlist to expire in advance

To add another dashboard to this playlist, click Add More Content and repeat your steps to connect another dashboard URL.

To change your dashboard's duration - that is, how long it will display within a playlist of multiple content items - edit the duration field (in seconds).

Edit your dashboard - advanced settings

Clicking on your dashboard in the library will open it in the dashboard editor.

From here you can:

  • Change the Refresh Interval of your dashboard. That is, how often it updates on your screen/s.
